NEW YEAR’S EVE IN SAIGON WITH A GROUP: GET THE PLAN RIGHT
A good 31 December plan gives everyone something to look forward to, without leaving one friend to sort out every bill, late arrival and last-minute change.

THE QUICK ANSWER
For New Year’s Eve in Saigon, agree where you want to be together at midnight, then build the guest list around that commitment. Confirm the guest limit and any extra-person charges before inviting anyone else. Keep dinner and the countdown close together, ideally within walking distance, so traffic doesn’t take over your evening. Give late joiners clear arrival instructions and settle the journey home before the night begins.
DECIDE WHAT EVERYONE IS SAYING YES TO
“We’re doing New Year’s Eve together” can mean a long dinner to one friend and a dancefloor until late to another. Ask everyone to choose the part they’re committing to: dinner, the countdown, or both.
If being together at midnight is the point, choose that part first. For some groups, that means staying at the dinner venue. For others, it means leaving dinner with enough room in the plan to arrive, get inside and settle into a club before the countdown.
Keep the venue debate in one place. Our Saigon New Year’s Eve guide compares PAPI, Zion Rooftop Club and APLUS. Here, we’re sorting out how your group actually gets from “that looks good” to an evening everyone understands.
BOOK AROUND CONFIRMED GUESTS
Keep three short lists: confirmed for dinner, confirmed for midnight, and still deciding. A friend who might join later shouldn’t be carrying part of a spending commitment they haven’t agreed to.
Give each person the amount they’re committing to and what it covers before anyone pays. Agree how you’ll handle shared bottles, individual orders and guests who leave early. A friend coming only for dinner shouldn’t discover afterwards that they were included in the club split.
If a table has a fixed minimum, fewer guests may mean a bigger share for the people who still come. Ask what happens if the headcount falls, whether a guest can be replaced, and when changes stop being possible. Use the venue’s written answer to set your group’s decision deadline.

SEPARATE THE TABLE, THE ENTRY AND THE SEATS
These deserve three separate answers. How many people can use your table? How many have admission included? How many can sit down together? Put those numbers beside each other before dividing the cost.
Venues set guest limits for tables, packages and reserved areas. Some have a firm cap that cannot be exceeded. Others may accept extra guests for an additional charge, but only if the venue agrees. An extra payment doesn’t override a hard capacity limit.
Get the maximum headcount and any extra-person charge confirmed before adding friends to the plan. A table booked for your group isn’t an open invitation for more people to join on the night.
There’s a useful example in this year’s festive programme: Social Club Rooftop at Hôtel des Arts Saigon lists both an entrance-ticket option and a table-booking option for its 31 December 2026 countdown, starting at 9pm. Treat each as a different booking choice and ask exactly what it includes.
Apply that same care to your own shortlist. Ask whether a guest arriving separately needs an individual ticket, whether admission is tied to the booking name, and what happens if someone arrives after the agreed time. Having friends inside doesn’t establish your own entry arrangement.
MAKE DINNER FIT THE REST OF THE EVENING
Choose a dinner finish that leaves room for paying the bill, gathering everyone and reaching the next venue. Work backwards from the arrival time your countdown venue confirms. The end of a dinner sitting and the moment your whole group is ready to leave are two different things.
If you’d rather stay over a long meal, choose that deliberately and agree that midnight happens there. Our New Year’s Eve dinner guide covers the dining choices and announced hotel sittings.
For your own dinner celebration, explain the details that affect the room: one shared table, space for a toast, background music, or a quieter place to talk. Have the venue confirm those arrangements for your date. Share dietary requirements in advance and get any essential accommodation confirmed directly.
KEEP YOUR VENUES CLOSE, IDEALLY WALKABLE
New Year’s Eve traffic in central Saigon can turn a short drive into a long wait. We wouldn’t plan dinner on one side of the city and the countdown on the other. Choose places close together, ideally within walking distance, so you spend more of the evening enjoying it together.
Check the actual walking route between the entrances before booking both venues. Make sure it works for everyone’s mobility, footwear and comfort, rather than relying on how close two pins look on a map. If the group needs a car, keep the transfer short and leave a generous buffer before the venue’s confirmed arrival deadline.
Staying at one venue for dinner, drinks and midnight is worth considering too. It removes the transfer altogether and gives the group one less thing to coordinate.

GIVE LATE ARRIVALS A PLAN THEY CAN USE
Send a late joiner the exact entrance, booking name, their admission arrangement and the contact handling arrivals. “Message us when you’re outside” leaves too much to sort out at the door.
If they’re landing in Ho Chi Minh City on 31 December, keep their arrival separate from the group’s main booking until their timing is realistic. Ask the venue about joining later before including them in a table commitment.
Be precise with dates after midnight. A pickup at 1am after the countdown is on 1 January 2027. Write that date on the transport plan and check that any entry arrangement covers the intended arrival time.
KEEP ONE CONFIRMATION EVERYONE CAN FIND
Use a single pinned note for the agreed plan. Copy the venue’s confirmed details into it, then keep tentative ideas elsewhere. This is the part worth checking together before payment.
Decision | What to write down | Who needs it |
|---|---|---|
Guest commitments | Named dinner and countdown lists, plus each person’s agreed share | Organiser and guests |
Booking scope | Exact outlet, room or table, maximum guests, included admissions and actual seats | Organiser and venue |
Money and changes | Total payable including taxes and service, approved extra-person charges, payment deadline and cancellation rules | Everyone contributing |
Arrival and dinner handoff | Dinner sitting, walking route or short transfer, confirmed arrival deadline and late-guest instructions | Guests and arrival contact |
Journey home | Full date, pickup point, drop-offs, waiting terms and driver contact once assigned | Travellers and transport provider |
Choose one person to approve changes with the venue. Others can still suggest ideas; the booking stays much clearer when one person keeps the final version current.
CHECK THE DETAILS AGAIN BEFORE 31 DECEMBER
Once the bookings are confirmed, send everyone the essentials. Two days before the evening, check the guest lists, venue instructions and transport arrangements again. That’s our planning suggestion, not a venue deadline; any earlier payment or change deadline still applies.
For a rooftop booking, ask what happens to your specific reservation if outdoor service changes. For transport, agree who waits for late guests and how separate departures will work. Confirm the pickup point with the provider close to the date, rather than building your plan around an assumed road closure or travel time.
Leave the optional late-night stop optional. The group already has a shared plan for the part that matters most.
